The event needed to bring key global investigators and the study teams together for the launch of phase III of the drug study. The main objectives of the event were to communicate the details of the drug study, promote patient participation, provide an opportunity for all investigators to ask questions and to maintain the company profile.

Solution

A series of four residential conferences were organised in Hong Kong, Berlin, Barcelona and Acapulco, over a period of four months. The destinations were chosen carefully to ensure maximum attendance from all the participating countries and thus greater opportunity for patient recruitment. A delegate messaging tool was used to ensure the attendees could communicate their questions to the study team, enabling fast responses at any stage of the meeting.

The evening dinners were relaxed and provided the guests with the opportunity to sample local cuisine and culture as well as networking with colleagues and members of the study team.

We provided the following services:

  • Destination selection, venue finding and venue management
  • Full pre-event management
  • Delegate registration - to include web design, email invites, flight bookings, email & paper based registrations and assistance with visas
  • Branding & design - set design, printed invitations, information booklets, welcome letters, joining instructions, PowerPoint template and an animated sting for the opening of each conference.
  • Entertainment and dining – sourcing venues, entertainment, transport, table plans and awards.
  • Production – stage set design, full audio visual set up, lighting, graphics and enhanced PowerPoint editing.
  • On-site event management
